Job Description: Quotation Assistant
Al Shafaq Group of Companies is seeking a detail-oriented and organized Quotation Assistant to join our trading operations in Sharjah. Specializing in the fast-paced spare parts and trading industry, we rely on accuracy and speed to maintain our competitive edge. This role is the bridge between customer inquiries and successful deliveries, ensuring that every price quote is accurate and every order is tracked to completion.
As a Quotation Assistant, you will be the backbone of our sales documentation process. Whether you are an experienced coordinator or a motivated fresher with a knack for numbers and Excel, you will play a vital role in our supply chain. You will collaborate across departments—from procurement to the warehouse—to ensure our clients receive the right parts at the right time.
Key Responsibilities

Accurate Quote Generation: Review customer inquiries for spare parts and prepare formal quotations based on established company pricing policies and current market data.

Sales Lifecycle Coordination: Manage the full documentation cycle, including sales orders, order confirmations, and customer records, following up on open quotes to convert them into sales.

Logistics & Inventory Liaison: Coordinate with the warehouse and procurement teams to verify stock levels and ensure timely shipment and delivery of confirmed orders.

Database Management: Maintain and update internal records using ERP systems and MS Excel, ensuring all product details and customer information are current.

Reporting: Prepare periodic sales and quotation reports to help management analyze conversion rates and market demand.

Client Communication: Serve as a reliable point of contact for status updates, inquiry clarifications, and delivery timelines, ensuring a high level of customer satisfaction.
Requirements

Experience: 1–2 years of UAE experience in a trading or sales coordination role is preferred; however, proactive freshers with strong technical skills are encouraged to apply.

Technical Skills: Proficiency in MS Office (Advanced Excel and Word) is essential. Familiarity with ERP software is a significant advantage.

Language Skills: Strong verbal and written communication in English. The ability to speak Hindi is a plus to facilitate coordination within the team and with various partners.

Attributes: Exceptional attention to detail, a result-driven mindset, and the ability to juggle multiple inquiries without compromising on accuracy.
